How to Add a Sender to Junk Email list in Outlook 2010

  1. Open Outlook 2010.
  2. Start Outlook 2010.
  3. In Outlook 2010, on the Home tab, in the Delete group, click Junk and Junk E-mail Options.

  4. On the Safe Senders tab, click Add.
  5. Enter an e-mail address or domain name. For example:
    someone@exchange.example.com
  6. Click OK.
  7. To add more e-mail addresses or domain names, repeat steps 3 through 6.
  8. Click Export to file.
  9. Enter a unique file name for the Safe Senders list, and then click OK.
  10. Repeat steps 3 through 9 with the Safe Recipients tab and the Blocked Senders tab to create Safe Recipients and Blocked Senders lists. Be sure to specify a unique file name for each of the three lists.

Understand How Calendar Preview Appears in Meeting Requests

When you e-mail a meeting request to a co-worker or client, if the recipient uses Outlook, then the request they receive looks different from the message that you sent. Between the headers and your actual message, part of the recipient's Outlook calendar appears in the message, showing the proposed meeting and anything else that is already in the recipient's calendar. This saves the recipient the trouble of checking his or her calendar for potential conflicts. Keep this feature in mind in case the recipient calls you about the e-mailed request and starts talking about the calendar embedded in your message. You didn't embed a calendar in the message you sent—but it's visible in the message that the recipient received

You won't be surprised to learn that Microsoft doesn't provide a tool for synching your Outlook calendar with your Google Calendar. But Google does. Start by downloading Google Calendar Sync. Run the installer and follow the prompts. As shown in the screen shot, you can choose different kinds of synching and different synching intervals—but the minimum is every ten minutes. Google Calendar Sync installs an icon in the Windows system tray. Right-click on that icon and choose Options to display the menu shown here

An underused feature of all modern e-mail apps is the "search folder"—a virtual folder that displays all messages that fit specified conditions. Outlook comes with four search folders built-in; you can find them in the navigation pane under "Search Folders." You can create a new search folder either by right-clicking on the Search Folders folder on the navigation pane or by going to the Folder tab on the ribbon and clicking New Search Folder. In the dialog box shown here, create your new search folder by specifying the criteria for the messages that you want to see inside the folder—for example, messages to and from your boss might go into a search folder named Urgent Mail, especially if the boss is in the habit of looking over your shoulder when you work.

If you visit the same web page often for information you need while writing your e-mail, it's easiest to look at that page in Outlook itself. Create a shortcut for the web page in Outlook's Shortcut list by following these steps. Open the web page in your browser and click on the icon to the left of its address in the address bar; drag that icon to your Windows desktop to create an Internet shortcut. In Outlook, open the Shortcut menu by clicking on the upward-pointing arrow on the Navigation Pane, or by pressing Ctrl-7. Drag your Internet shortcut from the Windows desktop to the word "Shortcuts" in the Navigation pane. Your new Outlook shortcut appears beneath Shortcuts, with its name displayed as its URL; you can give the shortcut a descriptive name by right-clicking on it and selecting Rename Shortcut. Whenever you click on the shortcut, the page displays in Outlook's main window. You can now delete the Internet shortcut from your Windows desktop

Don't forget the original purpose of the Shortcuts menu, which was to give you quick access to Outlook folders. Either right-click on the word Shortcuts in the Navigation pane and click New Shortcut, or go to the Folder tab on the Ribbon and select New Shortcut. A menu appears with a list of all your Outlook folders, and you can select the one you want to add to the list of Shortcuts. For example, you may want to choose one of the search folders that you created in the third tip in this set of Outlook tips.

Outlook's new Quick Steps feature lets you create one-click (or one-keystroke) e-mail actions. For example, moving a message to a folder you use for archiving messages. You create a new Quick Step by going to Outlook's Home tab, then clicking Quick Steps, Create New. There you'll assign a name, shortcut key, and tooltip for your Quick Step, then use the drop down menus to select one or more actions. When you're done, your new Quick Step will be available from the gallery of Quick Steps in the Home tab, or via a shortcut key.

Outlook's conversation settings lead to a more efficient Inbox

Takeaway: Use Outlook’s conversation view to arrange related messages into meaningful groups.
Outlook displays messages as they’re received, but there are ways to rearrange messages. For instance, you can click the Subject or From title cell to group messages by the Subject or From text, respectively. Sometimes this quick fix is adequate, but sometimes it isn’t because the subject text often changes and threads often have responses from more than just one person.

Conversation view

When things are a bit too complex for a quick sort, use conversation view, but don’t stop at enabling the view. To take full advantage of the view, go a step further and apply the settings that will make the arrangement truly efficient.
To arrange messages by conversation, click the View tab and check the show As Conversation option in the Conversations group. Then, choose All Folders or This Folder. The differences are subtle, but Outlook identifies conversations with a small triangle to the left.


To get the most out of conversation view, apply one or more of the settings. To do so, click the Conversation Settings dropdown. Perhaps the setting that provides the most insight and coverage is the one passed over the most. Be sure to check the Show Messages From Other Folders option, even if all your mail is in the Inbox. That way, Outlook will display messages you sent and stored in the Sent folder. These messages are an important part of the conversation but otherwise omitted from this view.
The Show Senders Above Subject option won’t add much to the view if your Inbox displays one-line headers. If you’re using multi-line headers, this option reverses the order of the From and Subject columns.
The third option, Always Expand Conversations is another setting that most users will want to use. Otherwise, you might lose context while browsing.
By applying the first and third settings, you completely change the view. You can see at a glance that Mary initiated a particular thread and that I (Susan) responded. That’s why you need to include that first setting. If you don’t enable this setting, you’ll see only the original message from Mary.

Many users don’t bother to view Outlook threads as conversations because they don’t seem to get too much from the arrangement. The problem is that they just don’t go far enough-viewing messages as conversations can be helpful, but you won’t always appreciate the real advantages unless you apply the appropriate settings to the conversation view.

A few extras

If you don’t want to use conversation view, you don’t have to. With a message open, you can click the Related dropdown in the Editing group to see a list of all messages related to the current one. This route won’t provide the same flexibility, but it’s handy if you want to avoid conversation view.

When using conversation view, consider positioning the reading pane to the right. Doing so is an efficient way to view all of the messages in the thread quickly. Outlook displays all of the messages in the Reading Pane regardless of its position, but viewing them on the right rather than below displays more text.
In addition, when working in conversation view, Outlook will apply many actions to all of the messages in the conversation, not just the current one. For instance, you can apply a category to a conversation by applying it to a single message. Later, when more messages in the conversation arrive, Outlook will automatically apply the same category to the incoming messages

Better Searching in Outlook 2010

A common problem with email searches is that they can return too many results. For example, entering someone’s name may return matches where the name appears in parts of the message’s body even though you meant to look for messages from that person. It can be also hard to enter other criteria to help narrow your search, such as whether it has an attachment or that it has a particular category applied. Wouldn’t it be great if you could specify these parameters easily and get a better set of results - finding what you want even faster? Outlook 2010 makes it easy!
Outlook 2010 makes searching your mailbox more efficient with two new features: the Search Contextual Tab in the Ribbon and the Search Suggestion List.

The Search Contextual Tab is displayed each time you click into the search box. It allows you to filter your search results using a variety of parameters, including:
· Sender’s name
· Subject keywords
· Presence of attachments
· Categories
· Sent date
· Flagged messages
· The recipient’s name in the TO or CC fields
· Importance
· Read/unread status
· … and many more!
You can use this tab to help you find messages quickly and easily. For example, suppose you are searching for a message with the phrase “Food Blog”, but more than 100 items return matching that query. Let’s suppose you also remember that this message has an attachment. Now you can instantly narrow down the results to a much smaller set to find what you are looking for by clicking the Has Attachments button in the Search Contextual Tab:

The vast majority of searches contain a combination of keywords, along with the names of the sender or a known phrase in the subject line. Restricting results to a specific sender is a powerful filter that often helps narrow down results quickly.
In Outlook 2010, you will see a list beneath the search box when you begin a query. You can just type and then arrorw down to limit your search to mail from someone or with a specific subject. The results returned will be only those that show a match in the name (or subject) fields against your query!

Ten tips to make email more productive

Ever been overwhelmed by emails at work? Experts report billions of emails
are sent every day and they’re still increasing. With so many messages
arriving throughout the day, email can easily become a continual interruption
and distraction from getting real work accomplished. Here are some useful tips
that will help give you more control over your time and increase your efficiency.

1 Put email on a schedule

Instead of reading and responding to emails as they arrive, set aside
specific times of day for them. This can vary from one to three or four times
a day, depending on your situation. If you’re in the habit of monitoring
your email continually it may take extra effort to change your behavior,
but once you do you’ll soon find yourself getting more accomplished.
2 Get set-up for success
Once you’ve established specific times for email, set-up some new rules
for your email application to help. Instead of automatically checking for
new messages every minute, adjust your application to check at a more
appropriate interval. You can also disable delivery previews and sounds to
reduce email’s intrusion into your productivity.
3 Read it and deal with it
Some messages are simply information, but others require action. Make
a renewed effort to deal with emails as you read them—reply, file, delete,
or print. If you don’t, you’ll end of up reading the same message two or
more times. In fact, if you know in advance that an email will take some
concentrated effort, don’t read it until you have the time to deal with it.
4 Put the subject line to work
When you write an email, take a moment to ensure the subject line is as
clear and complete as possible. For example, “Need feedback on Jones
Sales Presentation (attached) by Friday” is much more productive than
simply “Sales Presentation Review.”
5 Make the subject the message
When your message is very short use the subject line for the entire
message. For example, “Reminder: Feedback on Jones Sales Presentation
Due Today (EOM).” Use End of Message (EOM) so recipients know the
body of the email is blank and won’t waste time opening it.
6 Keep your message focused
When most people read on-screen they tend to scan. Big blocks of text
discourage readers and information is more easily overlooked. Keep your
emails short, to-the-point, and clear. Here are some tips to help:
• Add a space between paragraphs
• Use bullet points to improve readability
• List action items (with names)
• Use separate emails for disparate topics
